When a user deletes messages from a folder (i.e. Inbox, Sent Items) they are sent to the deleted items folder in Outlook or OWA. Messages can be deleted from the Deleted Items folder and they are sent to the Deleted Items “dumpster”. From there they can be recovered for up to 3 days before they are deleted permanently. However, it is possible to hard delete messages from any folder. This happens when a user performs a SHIFT+DELETE on a message. For example, if a user does a hard delete on messages in the Inbox, those messages are moved to the Inbox dumpster. From there, they can be recovered for up to 3 days. Moving messages to a personal folder and using a POP client will also remove messages from the Inbox, but they can still be recovered from the Inbox dumpster.
Outlook
By default, Outlook will only show a ‘Recover Deleted Items’ for the Deleted Items folder. You can put the following registry key in to allow you to do a Recover deleted items from any folder in Outlook:
HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Exchange\Client\Options - Add a DWORD value of DumpsterAlwaysOn=1
This will allow you to highlight any folder in Outlook and select Recover Deleted Items from the Tools menu. You will be presented with a list of messages in the dumpster for that particular folder. If you recover a message, it will be returned to the folder it was deleted from.
